This privacy policy describes how we at A1 Ingenjörer AB, with organization number 559138–1826 (“A1 Ingenjörer”, “we” or “us”), as the data controller, collect and use your personal data in our operations.

The processing of personal data varies depending on whether you represent a customer, supplier, or partner, or visit our website. The privacy policy also describes your rights as a data subject and how these rights can be exercised.

We always apply applicable privacy legislation, such as the General Data Protection Regulation (EU 2016/679) (“GDPR”) and supplementary legislation.

PERSONAL DATA COLLECTED ABOUT YOU, PURPOSES AND LEGAL BASIS​

Personal data consists of any information that can be linked to a living individual. This may include information that directly identifies an individual, such as a personal identification number or photo, but also indirectly, such as information that, together with other data, can be traced to a specific person.

The personal data we may process includes name, contact details (address, email address, and phone number), user account details, payment and billing information, your personal identification number if you operate as a sole trader and your personal number is the same as your organization number, communication between us, as well as IP address and other information collected via cookies and similar technologies.

We primarily collect personal data directly from you when agreements are made or during communication. Other sources include public registers for marketing, information published on websites, and the device you use when visiting our website.

If you have been invited to our project tool i5 Solutions, our customer is the data controller for your information, and we act only as a data processor. The processing we perform as a data processor is not included in this privacy policy.

WHEN YOU REPRESENT AN EXISTING, FORMER OR POTENTIAL CUSTOMER​

If you contact us as an employee of an existing or potential customer, we will process your personal data so that we can:

  • Provide the services we have agreed to deliver under the contract with your employer. This includes creating your user account to give you access to our project tool and communicating with you in various ways, such as providing support. Processing is necessary for our legitimate interest in fulfilling the contract with your employer.

  • Maintain and develop new services. Processing is necessary for our legitimate interest in product development.

  • Market i5 Solutions and the services we provide that we believe are of interest to your employer. We use direct marketing via email (which you can easily opt out of) to show relevant product recommendations and offers. Processing is necessary for our legitimate interest in marketing i5 Solutions and our services.

WHEN YOU REPRESENT A SUPPLIER OR PARTNER

If you are employed by a company that is a supplier or partner to us, your personal data will be processed so that we can:

  • Fulfill the rights and obligations we have under the agreement your employer has entered into with us, such as administration, invoicing, payment, and communication. Processing is necessary for our legitimate interest in fulfilling the contract with your employer.

WHEN YOU VISIT OUR WEBSITE

  • Fulfill our legal obligations. For this purpose, we will only process the personal data necessary to comply with our legal obligations, such as Swedish accounting regulations.

  • Protect ourselves and others. We will process personal data required to prevent, investigate, and act on any actions that violate our agreements, applicable law, or other arrangements between us. This includes processing necessary for us to defend against or assert legal claims.

  • Provide requested material. If you download material or other information published on our website or subscribe to our newsletter, we will process your email address with your consent to provide the requested material.

HOW YOUR DATA IS SHARED WITH OTHERS

For certain purposes, we need to share your personal data with other trusted individuals and companies:

  • People who work for us or on our behalf. Your personal data will be shared only with those who need access to perform their duties.

  • Service providers. Your personal data will be shared with selected companies that help us deliver our services. We use providers such as Azure for cloud storage and accounting, technical support, CRM tools, marketing services, analytics tools, and legal and financial advice. These companies act either as data controllers or data processors and process data only according to our instructions under a data processing agreement.   • Authorities and in legal contexts. Your personal data may need to be shared with authorities, courts, and other parties such as lawyers if required by law, in connection with legal proceedings, or to respond to requests from supervisory authorities.

  • Parties involved in a business transaction. If we decide to sell all or part of A1 Ingenjörer AB and/or i5 Solutions in the future, your personal data may be shared and/or transferred to parties involved in such a transaction.

PROCESSING OUTSIDE THE EU/EEA

If a transfer outside the EU/EEA occurs, it will be carried out in accordance with applicable law. We will only transfer your personal data to a country outside the EU/EEA if an adequate level of protection under GDPR requirements is ensured.

HOW LONG YOUR DATA IS STORED

We will store your personal data as long as it is justified for the purpose of processing, after which the data will be deleted or anonymized. We regularly review the need to retain your data, considering applicable legal requirements.

How long we store your personal data depends on the type of data. The same data may sometimes be stored for different purposes, for example, if a legal obligation requires retention even after anonymization for other purposes. For example, personal data necessary to fulfill our obligations under the Swedish Accounting Act is processed for seven (7) years, but only for this purpose. We process data for marketing and development purposes for twenty-four (24) months after our contractual relationship with your employer has ended.

Personal data needed to protect ourselves and others, such as data processed in connection with a legal claim, is processed as long as necessary for us to investigate, evaluate, and act, including asserting a legal claim.

YOUR RIGHTS

  • Right to information and access to your personal data. You have the right to request information about how we process your personal data and receive a copy of it. For repeated requests, we may charge an administrative fee.

  • Right to rectification. If the data we have about you is outdated or incorrect, you have the right to request correction and completion.

  • Right to erasure. You have the right to request deletion of data, provided the data is no longer necessary for the purpose it was collected or processed for, or if there is no legal basis for processing.

  • Right to restriction. You have the right to request that processing of your personal data be restricted until incorrect data has been corrected or an objection from you has been addressed.

  • Right to object to processing. If processing is based on legitimate interest, you have the right to object. We must stop processing unless we can demonstrate compelling legitimate grounds for continued processing.

  • Right to withdraw consent. If processing is based on consent, you have the right to withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.

  • Right to data portability. In certain cases, you have the right to obtain the personal data we process about you to fulfill our agreement with you and transfer it to another data controller.
